Introduction

Varibill’s redesigned user interface introduces a modern, structured, and intuitive experience built to streamline every stage of the billing lifecycle. The new UI brings together all core Varibill functionalities—including data collection, contract management, workflow execution, billing documents, reporting, and configuration—into a unified workspace designed for clarity and efficiency.


Version 6.0.1 introduces a wide range of enhancements across Billing Documents, reporting behaviour, File Management, Source Data modules, Contract Services, and grid-level workflows. With updated layouts, expanded self-service functionality, improved date-range logic, and enhanced bulk update options, users can manage their billing operations with greater accuracy, visibility, and control.


You can expect ongoing refinements to the platform, with continuous enhancements supporting smooth day-to-day operations.

Highlights 

This first release of 2026 introduces an important new capability to support safer testing and validation, along with a wide range of performance, stability, and usability improvements across the Varibill platform. 


Added: 


User Interface Improvements


Grid usability enhancements 

Grid action icons have been refreshed for improved clarity. 

Users can now open records by double-clicking a row in grids, making navigation and editing faster and more intuitive. 


Clearer data freshness indicators 

Grids and Source Collector panels now display when data was last refreshed. 

A human-readable time indicator (for example, “just now” or “X minutes ago”) makes it easy to see how current the displayed data is at a glance. 


Performance and Stability Improvements 

Significant performance work has gone into this release, resulting in: 

  1. Faster loading of the Billing Documents screen 
  2. Improved performance on the Homepage / Dashboard 
  3. Overall improvements in SQL database utilisation and responsiveness  
  4. Better distribution of SQL load resulting in a reduction of database “flatlining” and more consistent utilisation patterns. This results in a more stable and predictable system, especially during peak activity. 


These changes improve both speed and system stability under load. 


Backend & Platform Improvements 

Improvements to billing master data handling  and base data source handling 


These changes form part of the ongoing work to improve reliability, scalability, and performance across the platform.

Bug Fix: Billing Period not populating correctly 

Fixed an issue where the Billing Period was not automatically populating based on the Billed Cycle period when creating or editing Billing Transactions and their line items.

Bug Fix: Forex Currency Validation

Resolved an issue where Forex creation failed due to incorrect currency validation. The Varibill system previously returned an error indicating that the selected From and/or To currency did not exist, even when both currencies were correctly configured. This validation logic has now been corrected to ensure accurate currency checks during Forex setup.


Bug Fix: Billing Documents Grid

Fixed an issue that caused a red banner to appear on the Billing Documents grid.

View Document Button added to Billing Document Editor Screen

From the Billing Document Editor screen, users can now view the updates made to a Billing Document directly by clicking on the View Document button in the top-menu. 


Note: This addition is applicable to document types which include invoices, credit notes, and debit notes.


New Actions Menu for Billing Documents

An Actions menu dropdown button is now available from the Billing Documents screen, providing clearer visibility and improved workflow control when managing invoices, credit notes, and debit notes. The Actions menu offers only the actions applicable to the currently selected documents, along with a count of how many selected records each action applies to. 


Actions include:

  1. Close Selected Invoice(s)
  2. Reverse Selected Invoice(s)
  3. Open Selected Invoice(s)
  4. Rebill Selected Invoice(s)
  5. Reinstate Selected Invoice(s)
  6. Credit Selected Invoice(s)


Unavailable actions are shown in a greyed-out style to improve clarity and prevent errors.


New Actions Menu on the Billing Document Editor Screen

A new Actions button has been added to the Billing Document Editor screen, giving users direct access to available billing actions while editing an individual invoice, credit note, or debit note. Actions dynamically enable or disable based on the documents state, and include:

  • Close
  • Manually Credit (when applicable)
  • Reverse
  • Open (when applicable)
  • Rebill (when applicable) 
  • Reinstate (when applicable) 
  • Credit (when applicable) 


This improvement allows users to execute valid actions without leaving the editor.

Billing Comparison Report

Product Master Comparison Sheet: Sorting of dates across the Product Master row now shows consecutive dates (by month) for the selected period.

Product Master Comparison Sheet: The Product Master column now includes a dropdown filter next to Product name which when opened, displays a list of clients subscribed to each Product.

Total Revenue Sheet: The "Period" columns now display consecutive dates (by month) for the selected period. 


Region-specific Authorization Flow Constraint in Xero Accounting Software Integration

The integration now uses Xero's standard OAuth authorization code flow, ensuring full multi-region compatibility when posting to Xero Accounting Software. Users will now be prompted to sign into Xero through a secure pop-up authentication window, enabling a seamless and compliant connection process.

Billing Documents: UI Revamp

The Billing Documents screen has been rebuilt with a modern interface and improved workflow options. Users can now:


Create once-off invoices from scratch directly from the Varibill interface.

Edit [specific] field data and transactions, and update existing open billing documents.

Delete open invoices and action invoices/credit notes to adjust their status.

Add or edit transaction-level details directly on an open/new billing document.


Billing Document “Actions” Menu: Bulk Operations

Billing Documents now support an Actions menu directly on the grid, enabling high-level invoice operations in bulk.


Supported actions include:

  1. Multiple record selection – Close Record
  2. Multiple record selection – Delete Record
  3. Multiple record selection – Open Record 
  4. Multiple record selection – Rebill Record 
  5. Multiple record selection – Reinstate Record 
  6. Multiple record selection – Reverse Record

 

These actions were previously limited to single-document view. They are now available on the grid for faster, streamlined invoice management.


Improved Date Range Handling: Inclusive End-Date Logic

All UI date pickers used in reports and time-period filters now use inclusive end-date logic.


What’s improved:

  1. End dates include all data from the final selected day.
  2. More predictable results for monthly, weekly, and custom ranges.
  3. Reduced discrepancies between UI reports and exported outputs.
  4. Improved accuracy across all modules using date-range filters, including allocations, usage, contracts, and billing comparisons.


Bulk Update Enhancements: New “Document Date” Field

The Bulk Update framework has been expanded to support updating Document Date across multiple records where applicable.


Bulk update is available across several grid types, including but not limited to:

  1. Clients
  2. Data Imports
  3. Billing Documents
  4. Source Data Items


Bulk update also remains available on Contract, Client, Product, and Source Collector grids where group changes are logically supported.


File Templates: File Management Enhancements

File Management templates have been updated to improve clarity. These include:

  1. Column descriptions have been rewritten for greater precision.
  2. Field descriptions now clearly indicate what is required and how each field is used.


These updates reduce ambiguity when preparing files for upload.

Grid Search & Highlighting

Grid search has been updated so that matching text is now highlighted in returned results.


This improvement applies across supported grids, including file upload and data grids, making it easier to identify matched content at a glance.


Contract Services: Add Services Directly to Contracts

Users can now add individual services directly to an existing customer contract through the UI.


From Contracts → Contract Editor, users can:

  1. Add new products and service lines
  2. Enter contract-specific descriptions and details
  3. Save updates directly to the active contract


This enhancement provides more precision and flexibility when adjusting contract structures.

Version 6.0.1 delivers several interface-level improvements that enhance clarity and usability, including:

  1. Consistent date handling across reporting modules
  2. Updated field descriptions across File Management and Source Data
  3. Improved page guidance and reduced ambiguity in configuration-driven screens
